About This Role

Job Purpose:

The Associate Project Manager, Access Operations, collaborates with Parexel Consulting Access Project Leader /Sr. Project Leader/Director (collectively defined as PL) and/or Technical Leads (TL) on project management tasks, providing support at project level during any and all phases of the project (planning, initiation, steady state and close out). Understands their and the overall team’s roles impact on project profitability, quality and timelines by utilizing expertise in project management and acts accordingly. Maintains, under supervision of the PLs and/or TLs, an overview of a portfolio of projects, while developing higher level project management.

Project Initiation Management

  • Ensures tools are set-up according to SOPs and work instructions (for example, Project Management Plan, SOP list, TIME task codes list, Team list, resource planning system, under PL guidance
  • Coordinates the setup of Project Specific Training in LMS where needed.
  • Works with PL to create an initial schedule and resource plan in Project View.
  • Assists with drafting a consistent and coherent project management plan, including coordinated planning of the different project activities and input from the different functions,
  • Supports the Access PD/SL Heads in making staffing recommendation on how to staff projects efficiently based on workload and team’s allocation

Project Execution and Control Management

  • Responsible for project reporting and analysis and for highlighting issues for project team.
  • Maintains the project schedule and resource changes with input from Project Lead.
  • Prepares portions of the monthly management and dashboard reports
  • Updates and maintains project tracking databases, compiles data for reports, and other project-related materials
  • Organizes incoming and outgoing correspondence for project management
  • Responsible for managing project document archiving.
  • Responsible for updating the project plan as needed and collaborating with the PL/TL to execute the plan.
  • Ensures system data or compliance issues are followed up and solved as needed.
  • Support the PL maintaining Project Schedule.
  • Collaborates with PL/TL to make choices about where to concentrate resources and effort on any given day, anticipating potential issues, dealing with these issues before they come critical, and coordinating work of the overall project including: scope, CIS, risk plan, quality plan, communication plan, schedule, and resource plan)

Project Financial Management

  • Responsible for creation of monthly project financial metrics.
  • Proactively works with the PL for calling out risks and mitigation plans (including out of scope activities, CIS requests)
  • Tracking of Profit Margins dashboard and lead conversation for improvements.
  • Reviewing TIME reports against allocated/budgeted time.
  • Manages moving of the holding code hours into project codes.
  • Reviewing and processing invoices and PT cost invoices.
  • Interacts with Independent Consultants to collect timesheets and processes invoices for payment.

Project Closure Management

  • Responsible for ensuring that documents are archived.
  • Facilitate ensuring all aspects are done e.g. case studies are developed within 3 months of close and placed on hotspot.
  • Closes all project systems and interfaces upon project end.
  • Ensures Customer Satisfaction Survey is received.

  • Experience with Parexel systems preferred

  • Travel is a requirement of this job

Knowledge and Experience:

  • Proven relevant experience in healthcare, consultancy, project management or contract research organization.
  • 3-4 years of relevant experience in a Project Support/Management function  

Education:

  • Bachelor’s degree in a science-related field, with an advanced degree desirable
  • PMP or equivalent desirable
